Qoblex

Qoblex, formerly Stock&Buy, is inventory and order management software.
It is a live connector in the Commerce category. Find it under
Settings → Integrations → Qoblex. It reads your account over a
read-only connection. Twelfth never writes back to Qoblex.

Only workspace owners and admins can connect, sync or disconnect Qoblex.
The connector only appears where it is configured for the environment.

What Twelfth reads

Data Status
Products: every variant, with SKU, name, product type, first supplier, retail price and cost Live. Re-read in full every 6 hours.
Sale orders and their lines: SKU, quantity, unit price, order date Live. Read every 15 minutes. Lines land with your other sales, so they show in Performance.

How each Qoblex field lands in Twelfth:

  • Product type becomes the product’s category. Twelfth also makes one
    remit per product type, because Qoblex has no buyer ranges of its own.
    You can change both under Categories & remits.
    A product with no type lands as Uncategorised.
  • The variant’s first supplier becomes its supplier. If the API key cannot
    read suppliers, products sync without one.
  • Unit cost is the variant’s moving average cost. If Qoblex has none, it is
    the purchase price.
  • A sale’s unit price is the price on the order line.
  • Cancelled and deleted orders keep their lines, marked as voided, so
    they drop out of sales totals. Quotes are not sales. An order that goes
    back to a quote is voided too.

Performance needs both: products give a sale its category and cost, so sales
without the catalogue would land and not show. That is why Twelfth reads the
catalogue as well as the orders.

Shopify and Qoblex together count a sale twice

If the workspace also connects Shopify, and
your Shopify orders flow into Qoblex, the same sale arrives from both. Connect
one or the other for sales.

Before you start: an API key

API access is included in Qoblex’s free trial. After the trial it is a paid
add-on to your Qoblex plan.

  1. Open Qoblex’s API page:
    go.qoblex.com/r/integrations/api.
    Sign in if it asks.
  2. Choose Install if the API integration is not installed yet.
  3. Choose Create API key and copy the key.

Connect

  1. Open Settings → Integrations and choose Connect on the Qoblex
    row.
  2. Paste the API key and choose Connect.

Twelfth checks the key against your Qoblex account before it saves anything. If
Qoblex rejects the key, nothing is saved and the dialog says why. The key is
encrypted at rest and is never shown again or returned to the browser.

A workspace holds one Qoblex account. Connecting again replaces the stored
key on the same connection. That is also how you change the key.

The first sync takes a while

Qoblex allows 30 API calls a minute for each key. The first sync reads every
product and the last 365 days of sale orders, so it takes several minutes
for a few thousand products, and longer for a large account.

It starts as soon as you connect and carries on in the background. You can
close the dialog. While it runs, the Manage dialog shows Catching up…,
and its counts of products and sales lines refresh every 10 seconds.

Sync cadence

  • Twelfth reads new and changed sale orders every 15 minutes.
  • Twelfth re-reads the whole catalogue every 6 hours. Qoblex has no reliable
    way to ask only for products that changed.
  • Qoblex has no webhooks, so there is nothing to set up in Qoblex. Twelfth asks
    on its own schedule.
  • Sync now in the Manage dialog runs a short sync straight away. It
    says how many products and orders it read. If there is more to read, the rest
    continues in the background.

The Manage dialog shows:

  • the account name and currency;
  • how many products and sales lines have landed;
  • the span of sales, from the first sale read to the last;
  • when the catalogue was last read in full;
  • when the account last synced, and the error from the last sync if it
    failed.

Disconnect

  1. In Twelfth, open the Manage dialog on the Qoblex row and choose
    Disconnect.
  2. In Qoblex, open the
    API page and choose Revoke API key on
    the key, so it stops working.

Disconnecting stops the sync and discards the stored key. Products and sales
already read stay in the workspace.

Troubleshooting

“Qoblex refused the API key.” Check that you copied the whole key and that
it has not been revoked in Qoblex. Create a new key and connect again.

“Qoblex says API access is not on this account’s plan.” The free trial has
ended and the API add-on is not on the plan. Add it in Qoblex, then connect
again.

“The API key is missing a permission.” The message names the permission.
Give the key that permission on the API integration in Qoblex, then connect
again.

“Paste the API key from Qoblex’s API integration.” The field was empty or
did not hold a key. Copy the key again and paste it with nothing before or after
it.

“Twelfth couldn’t reach Qoblex.” Qoblex did not answer. Try again in a
minute. If it keeps happening, contact support.

“Qoblex isn’t configured on this environment yet.” The environment cannot
store keys yet. Contact support.

Products or sales are not updating. Open the Manage dialog:

  • Catching up… means the first sync, or a long pass, is still running. Let
    it finish.
  • If it shows Last sync failed, the message after it is Qoblex’s answer. A
    rejected key usually means it was revoked or the API add-on lapsed. Paste a
    new key under Reconnect with a new key and choose Reconnect.
  • Choose Sync now. If it reads products or orders, the connection works.

Sales look doubled. See the warning above: Shopify orders that also flow
into Qoblex arrive twice. Disconnect one of the two.
