Microsoft 365 files as AI context
Microsoft 365 files as AI context
Use a linked file for the context behind a decision: supplier terms, range
plans, policies or a presentation. Twelfth reads its text when a question needs
it and cites the file by name.
Add a file
- Connect Microsoft 365 with OneDrive & SharePoint files access.
- On the integration’s Files tab, choose Add a file. Pick a recent or
shared file, or paste a OneDrive or SharePoint link. You can also paste the
link through Artefacts → Link a file. - Check the file name, whether its contents can be read, and any
Personal OneDrive badge. - Choose the whole workspace or a remit, describe what the file is useful for,
and confirm.
The file appears on Artefacts. The assistant learns that an
accessible document exists and reads it when relevant; linking does not insert
its entire contents into every answer.
What can be read
| File | What Twelfth reads |
|---|---|
| Excel workbook | Visible worksheets, up to 12 worksheets and 2,000 rows per worksheet, as text. |
Word document (.docx) |
Text and table rows. |
PowerPoint deck (.pptx) |
Text and tables, arranged by slide. Images and speaker notes are not read. |
| Plain text, CSV or JSON | The file’s text. |
| PDF or image | Can be listed, but the linked-file extractor cannot read it yet. Use a supported text document. |
Large files and snapshots have limits; Twelfth reports unsupported or truncated
content. A spreadsheet used as document context is read as text, not validated
as a calendar or target plan. Link those through their own setup flows.
Keep it current
The assistant refreshes a context snapshot when it is more than an hour old and
needs to read it. Choose Refresh on the file to read it again now. Remove
unlinks it from Twelfth without deleting the Microsoft file.
If Microsoft access is lost, Twelfth clears the context snapshot. Reconnect or
restore the account’s file access rather than uploading another copy to hide
the connection problem.
Choose who can read it
Workspace admins can link files to any scope; remit owners can link within
their own remit. People read workspace-wide files and files in their remits.
They may refresh a file they can read. Microsoft access comes from the one
connected account, while Twelfth access comes from the file’s chosen scope.
