Artefacts & shared documents
Artefacts (/app/artefacts) is one table of every file your workspace holds, wherever it arrived: documents you shared with Twelfth, the spreadsheets and calendars linked as calendar sources, files attached in chat, Performance target workbooks and files kept with supplier notes. Search across all of them, filter by type with the chips above the table, and sort any column. A row opens the file: a shared document or target workbook in place, a chat attachment at the message it was said in, a calendar source in Settings → Calendars, a supplier file as a download.
Share a document with Twelfth
Sometimes you just want the assistant to know about a document — a range plan, supplier terms, a buying policy, a category review. You do not need to upload anything or set up a sync. Choose Add document at the top of the page:
- In Google, share the Sheet, Doc, Slides or plain-text file with Twelfth’s reader address (shown in the dialog) as Viewer. It is the same address Settings → Calendars uses.
- Paste the file’s link. Twelfth checks it as you paste — the file’s name and type, whether its contents can be read, and who in your workspace shared it — and says so before you add it. Choose whether it is for the whole workspace or one remit, and add a line about what it is for; the assistant reads that line to decide when the document is relevant.
- Twelfth reads the file and keeps a text snapshot. From then on the assistant sees the document in every conversation and reads it when a question bears on it, citing it by title.
Twelfth only ever reads; it never edits a shared document. Google Sheets are read tab by tab; Docs and Slides as text. PDFs, Word files and images are listed but cannot be read yet — convert them to a Google Doc to include them.
Who can add documents
A workspace admin can add a document for the whole workspace or any remit. A remit owner can add documents to their own remit. Everyone can read the workspace-wide documents and those in their remits, and refresh any document they can read.
How Twelfth keeps documents to your workspace
Twelfth reads every customer’s shared files with one address, so being able to read a file is not enough for it to be linked here. When you paste a link, and again every time the document is refreshed, Twelfth checks who owns the file and who shared it: one of them must be a member of your workspace or use your company’s email domain. A file that nobody in your workspace can vouch for is refused. If a file is later moved outside your workspace or un-shared, its snapshot is cleared and the document shows why on the Artefacts page.
Keeping documents current
A snapshot refreshes automatically when it is more than an hour old and the assistant reads it; open the document from the table and choose Refresh to read it again now. Very large files are capped, and the page says so. Remove takes the document out of Twelfth; the file in Google is untouched.
OneDrive and SharePoint are not available yet — register your interest from the add form.
Other files on the page
- Linked calendar sources — the sheets and calendars read for your planning calendars. Managed in Settings → Calendars; listed here so a linked sheet can be found.
- Files attached in chat — spreadsheets attached to a conversation. The rows live in the message; the card opens the turn they were said in. Visible to whoever can see the chat.
- Target workbooks and Supplier note attachments — the Performance target uploads and the files kept with supplier notes, as before.
