Supplier facts

Supplier facts

The Facts tab holds what is true about the relationship with a supplier. Buyers keep most of it; a few figures are measured by Twelfth and cannot be typed over.

Whatever you change here is saved as you go and applies to everyone in the workspace. If a save fails, the page says so beside the tabs and keeps your edit, with Try again.

Supplier facts

The supplier’s name and the categories their products fall into in your range (“None recorded” when there are none). These come from your data and are read-only.

Identity & contacts

  • Also known as: other names the supplier goes by in invoices, emails or your source system.
  • Rep name, Rep email, Rep phone.

Ordering & working preferences

  • Payment terms
  • Order schedule: which days they take orders, or how often you order.
  • Order cut-off: include the time zone.
  • Ad-hoc reorders: whether they accept orders between the regular schedule.
  • How they work
  • Availability & allocation: how stock is allocated when it is short.

Select the pencil beside a fact to edit it, then Save. A fact nobody has entered reads “Not recorded”. An entered fact shows that a buyer entered it, and when (“Buyer-entered · 14 Oct 2026”).

How to order

A summary of how your team places orders with this supplier: the methods (portal, email, spreadsheet and so on), the buyer responsible, any instructions, and the portal link. If an ordering sheet was imported, it says so.

This is read-only here. Manage in Settings opens Settings → Ordering on the supplier’s page, where it is set up. See Ordering and supplier portals.

Currency & conversion

Supplier quote currency sets the currency this supplier quotes in, for new quotes that do not state one. It defaults to your workspace currency. The reference exchange rate is shown beside it.

Preview a mixed-currency cost works out a landed cost from components in different currencies, such as goods in USD and freight in AUD. It can use an agreed rate in place of the reference rate. The preview is not saved and does not change any order. Supplier settings explains the preview in full.

Buying terms & response

These are the figures buying checks use. Each saves as soon as you change it.

  • Lead time (days): how long the supplier takes from order to delivery. When Twelfth has a reliable figure from your receipts, a Use N days button offers it; nothing is filled in until you choose it. See Lead times: never a default for how Twelfth picks the lead time in force.
  • Minimum order quantity (units).
  • Minimum order value, in your workspace currency. An order under it is flagged, never stopped.
  • Expected email response time (hours): how long the supplier usually takes to reply.

When you show Twelfth AI a message in which a supplier states their lead time (“we’re running 8 weeks on all orders”), it offers a link to this tab with the figure. A banner then quotes the supplier’s words: Set N days saves the lead time and keeps the quote as a note on the Timeline, so the next buyer can see why it is what it is. Not now leaves the current value. Nothing changes until you press Set.

Measured reliability

What Twelfth measures from your own receipts and orders, read-only:

  • Declared lead time: the lead time your source system carries for this supplier.
  • Lead time from receipts: the median days from a purchase order being raised to its stock arriving.
  • Lateness and Fulfilment rate.

Each needs at least 20 deliveries or lines before it is shown, so one late delivery cannot define a supplier. Below that, the figure says it is not measured yet and why. Observed email response time is not measured yet.
