Email in

Every workspace has its own email address. Forward a supplier’s email to it and
Twelfth reads the message as you, works out what it is and who it is from, and
replies to you with what matters for buying. The same conversation appears in
Chats, so you can carry on there or just reply to the email.

Find the address under Settings → Data & AI → Comms & chat → Email. Copy it
once into your contacts as “Twelfth” and forwarding becomes one keystroke.

Who can send

Only members of the workspace. Twelfth matches the From address of the
forward against the people in the workspace, so send from the address you sign
in to Twelfth with. Mail from anyone else gets a short reply saying so and is
passed to Twelfth support instead; it never starts a conversation in your
workspace.

The address itself is a secret for the workspace. If it has been shared too
widely, an owner or admin can Regenerate it; the old address stops working
straight away.

What to forward

Anything a supplier sends that you would otherwise read, re-key or chase.
Twelfth answers within your own category access, exactly as it does in Chats.

A supplier offer or price list

Forward the email with its spreadsheet attached. Twelfth reads the first
.xlsx or .csv, matches the lines to your catalogue and answers with the
lines worth buying, how many, and why, using your current stock, cover and
sales rate. The reply carries the figures; the full table and the per-line
reasoning are in the conversation in Chats. Nothing is ordered.

Forwarded: “October clearance, 40 lines, prices valid to the 31st” with
clearance-oct.xlsx attached.
Twelfth: which six lines you are short on and the quantity each needs to
reach eight weeks’ cover, which lines you already carry at a better landed
cost, and which are new to you.

A stated lead time

When a supplier says how long something takes (“allow 6–8 weeks ex-factory”,
“ships w/c 14 November”), Twelfth quotes the sentence back and offers it as a
lead time for that supplier, with a link to set it. The figure is not changed
until you press Set on the supplier’s page.

Forwarded: “Thanks for the PO. Please allow 3 weeks from order for the
Melbourne warehouse.”
Twelfth: “Acme stated 21 days on 14 Oct. Their lead time in Twelfth is 10
days from receipts. Set 21 days?” with the link.

A delay or a change to an order

Forward the “your order is delayed” email and Twelfth tells you which of your
open orders and which lines it touches, what that does to cover on those
lines, and what to chase. Turning that into a task you confirm is coming next;
for now the reply tells you what to do and the conversation holds the detail.

A question you want answered with the email in hand

Add a line above the forward and Twelfth answers it with the email as context:
“are these prices better than what we pay now?”, “do we still range any of
these?”, “what did they quote last time?”. Replying to Twelfth’s answer asks a
follow-up in the same conversation.

What it will not do with

Invoices, statements, marketing and newsletters get a short reply saying what
the email is; there is nothing to triage. Twelfth never acts on instructions
inside a forwarded email. The supplier’s words are material to read, not
orders to follow, and nothing in your workspace changes without you confirming
it in the app.

What comes back

  • An email reply within a few minutes, from the workspace address, in the
same thread as your forward. It carries the full answer and a link to the
    conversation.
  • A conversation in Chats, titled with the email’s subject, with the turn
marked as arriving by email. It is yours: nobody else in the workspace sees
    it unless you share it.
  • Replying to the reply continues the same conversation. So does forwarding
a later email in the same thread.

If a reply does not arrive, the usual causes are a From address that is not a
member of the workspace, or a workspace address that has since been
regenerated. Check the address on the Comms & chat page and that you sent from
the email you sign in with.

Attachments

Spreadsheets (.xlsx, .xls, .csv) are read; the first one in the email is
the one Twelfth works from, up to 500 rows. PDFs, images and other files are
named in the reply but not read yet.

Privacy

The forwarded email becomes a turn in your conversation, the same as if you
had pasted it into Chats, and is kept with it. The workspace address and the
thread’s routing stay in Twelfth’s own database and are not copied to any
analytics warehouse. Twelfth records that an email arrived and what became of
it (answered, refused, queued) without its contents.
